New Feature: Default Thank-you letter per Subcategory

This new feature helps automate data entry so that the Thank-you letter assigned to a transaction is automatically entered based on the Subcategory default.

Click Program Setup > Category Manager. Check the Show Subcategories check box.
Select a Subcategory and click Modify.



You can do this for each Subcategory that you want to assign a default thank-you letter.

When a Subcategory has a default thank-you letter assigned, the following areas are automated:
  • When entering a Bill, the 'Scheduled Thank-you Letter' field is automatically filled in after selecting the Subcategory.
  • When entering a Bill Schedule, the 'Scheduled Thank-you Letter' field is automatically filled in after selecting a Subcategory.
  • When entering a Payment, the Letter field is automatically filled in after selecting a Subcategory.
  • (If the Payment is being applied to a Bill which has a 'Scheduled Thank-you Letter', that letter will be used even if it is different than the default thank you letter for the Subcategory.)
  • When auto-charging credit cards (recurring donations), the Payment which is automatically entered will have the Letter field filled in based on the Subcategory default of the Bill Schedule.
    (As with the previous point, if the Bill Schedule has a 'Scheduled Thank-you Letter' that is different than the Subcategory default, the 'Scheduled thank-you Letter' of the Bill Schedule will be used.)
  • Using CMS CONNECTED Forms: When downloading Donations that have been auto-charged on your website, the Payment records that are automatically entered will have the Letter filled in based on the Purpose (Subcategory) field of the form.
  • Using CMS CONNECTED Forms: When downloading Donations that have not been auto-charged online, the Bill that is created will not be affected. However, when the card is auto-charged, the Payment which is automatically entered will have the default thank-you letter for the Subcategory (as explained above).
We hope that this improvement will help streamline the process of entering payments, especially those that are automatically entered by Recurring Credit Card Payments and Downloaded Online Submissions.
